Ad Submission, Design and Deadlines

All ad submissions must be made using our designated form. 

You may choose to submit your own ad design or have us design it for you. If you submit your own design, once you select an ad size, we will provide the exact measurements to ensure your ad fits properly. By submitting your ad, you confirm it is error-free and ready for print. You will receive a sneak peek before it goes to print. If you choose to have us design your ad, you will receive three proofs and one opportunity for changes. The first proof allows you to check that all information is correct and request any revisions. The second proof is to review any requested changes and confirm they have been made. The third and final proof is for your approval before we send it to print.

If you miss the ad submission deadline or don’t provide all required materials, we may print without your ad and move it to the next available mailer. 

Ad placement within the layout is determined by the Publisher to maintain balanced design and postal compliance. Publisher reserves the right to adjust layout or size for print optimization. 

Content Standards and Approval

All Ad content must be original or properly licensed and must not infringe on any third-party intellectual property rights. Your Ad must not contain false, misleading, offensive, or unlawful content. We reserve the right to reject, edit, or request modifications to any Ad that does not meet our quality standards or community guidelines.

Proofing and Final Approval

When production timelines allow, We will provide a proof of your Ad for your review. Final approval must be submitted in writing (email confirmation is sufficient).  If you don’t approve or respond by the final proof deadline, we may print the latest version on file or move your ad to the next mailer.

Payment Terms

Full payment must be received by the print deadline unless a payment plan is arranged; your ad will not be submitted to print, and your reserved spot will be forfeited until full payment is made, after which you will be placed in the next available mailer.

Refunds, Returns, and Cancellations

If you miss the ad submission deadline, your ad will be moved to the next mailer. To get a full refund, cancellations must be made in writing at least 7 days before the print deadline. Cancellations after that won’t be refunded but can be reserved for the next available mailer unless otherwise agreed upon.

Use of Ad Content for Promotion

Unless otherwise stated in writing, by submitting your Ad, You grant Pine & Palmetto Co. LLC the right to use your Ad and final printed material for promotional purposes on our social media platforms and website.
